Loyola University Chicago seeks applications for the position of Assistant University Archivist for the Loyola University Chicago Archives and Special Collections , based at Cudahy Library . The Assistant University Archivist supports the University Archivist in managing the Loyola University Chicago Archives and Special Collections (LUCASC) department. This role encompasses a variety of responsibilities, including providing research assistance to researchers, supporting class sessions, collaborating with student staff and interns, processing collections, promoting the department through social media and the creation of exhibits, and working on various departmental projects and initiatives. The successful candidate should show evidence of creativity, initiative, flexibility, dedication to diversity, and ability to work with diverse populations. This is an open-rank library faculty appointment. At Loyola, Librarian is a special faculty designation with opportunities for promotion.

The Loyola University Chicago Archives and Special Collections is a highly valued partner in teaching, research, and learning at the University. A full-time staff of two archivists serves researchers from the Loyola community and the public. Archives staff are dedicated to documenting the goals, objectives, and programs of Loyola University Chicago. Additionally, archivists are responsible for the collections in Chicago history, Catholic history, entertainment history, U.S. Congressional papers, business history, political cartoons, and rare books that form the core of Special Collections. The Loyola University Chicago Libraries includes Cudahy Library, the Information Commons, and the Library Storage Facility at the Lakeshore Campus in Rogers Park; Lewis Library at the Water Tower Campus in downtown Chicago; the Health Sciences Library on the medical campus in Maywood; and a library at the John Felice Rome Center in Italy. The University Libraries collaborate closely with the School of Law Library.

Key Responsibilities:

Reporting to the University Archivist and Curator of Rare Books, the Assistant University Archivist will:
  • Assist in the collection, preservation, and accessibility of university records and archival collections in multiple formats.
  • Accession, process, arrange, and describe collections in multiple formats following professional standards.
  • Document and preserve the university website using Archive-It.
  • Provide research support to a diverse range of researchers.
  • Assist in facilitating class sessions.
  • Engage with faculty, staff, administration, and student organizations to facilitate the transfer of records to University Archives.
  • Manage the departments social media presence and develop engaging exhibits.
  • Participate in and contribute to departmental projects and initiatives.
  • Assist in supervising student staff and interns within the department.
  • Contribute to the development and revision of departmental policies, procedures, and workflows.
  • Collaborate with Library Systems, Women and Leadership Archives, and other departments on projects.
  • Serve on the Digital Preservation Committee and other relevant library committees
Qualifications:

Required Qualifications

  • Masters degree from an ALA-accredited library and information science program with specialization in archives or related degree with specialization in archives.
  • Experience working in an archives or special collections unit.
  • Expertise in archival arrangement and description.
  • Proficiency in reading cursive and other handwriting styles.
  • Physical ability to lift and move boxes and other materials on and off shelves.
Preferred qualifications
  • Minimum of two years experience working in an archives or special collections unit.
  • Certification from the Academy of Certified Archivists.
  • Demonstrated creativity, initiative, and flexibility.
  • Ability to work effectively with diverse populations.
  • Ability to work both collaboratively and independently.
  • Ability to handle confidential information in accordance with best practices, institutional policies, and legal requirements.
  • Expertise in providing reference services to researchers.
  • Experience working with collection management software, digital preservation software, and digital exhibit software such as Preservica, Omeka S, Archive-It, and ArchivesSpace.
  • Experience in electronic records processing and preservation.
  • Experience working with classes using archival materials.
  • Experience supervising student workers.
  • Knowledge of metadata schemas such as DACS, Dublin Core, EAD, RAD, and PBCore.
  • Experience in managing social media accounts, preferably Instagram and Blue Sky.
  • Strong organizational skills and ability to meet deadlines.
  • Excellent communication skills.
