Job Description

Description We are looking for a detail-oriented Executive Assistant to join our team in Sacramento, California, on a Contract to permanent basis. The ideal candidate will play a pivotal role in supporting executive leadership through efficient calendar management, correspondence, and coordination of meetings. This position requires a proactive approach to managing administrative tasks while maintaining a high level of professionalism. Responsibilities: - Manage executive calendars, including scheduling meetings, conference calls, and appointments. - Coordinate and organize virtual meetings using Cisco Webex and other communication platforms. - Prepare and edit correspondence, reports, and presentations with attention to accuracy and detail. - Oversee travel arrangements and expense reporting using Concur to ensure timely reimbursements. - Maintain accurate records and documentation within CRM systems, ensuring data integrity. - Support payroll and timekeeping processes using Kronos Timekeeping System and other related tools. - Facilitate communication between executives and internal teams to ensure smooth operations. - Monitor deadlines and follow up on tasks to ensure timely completion of projects. - Handle sensitive and confidential information with discretion and professionalism. - Assist in organizing team events and activities to foster collaboration and morale. Requirements - Proven experience as an Executive Assistant, preferably within financial services. - Proficiency in Cisco Webex Meetings, Concur, and CRM systems. - Familiarity with Kronos Timekeeping System and other payroll tools. - Strong organizational skills with the ability to manage multiple priorities effectively. - Exceptional written and verbal communication skills. - High level of proficiency in calendar management and scheduling. - Ability to handle confidential information with discretion. - Adept at using Microsoft Office Suite and other productivity tools.
